Why small can be harder to book
A smaller guest list does not always mean an easier booking. Many venues are built and priced around large weddings, so they set a minimum number of guests or a minimum spend for the night, and a ballroom sold to 80 guests is a ballroom they cannot sell to 400. Ask about the minimum before you fall for a room.
Start with your real number, then add a margin. An engagement for 60 can become 90 once both families are counted, and the right room for 60 may not stretch.
Hotel salons and smaller ballrooms
Hotels are the easiest choice for a small, formal evening: in-house catering, service, parking and rooms for family under one roof. Look past the main ballroom to the salons, smaller ballrooms, terraces and rooftops. A few examples from the hotels' own pages (capacities depend on the layout, so confirm with the events team):
- Kempinski Nile Hotel, Garden City: the Nile Ballroom has views over the river and is described as taking 50 to 100 guests, for weddings, engagements and private celebrations. Salon 3 seats 50 for a banquet and is offered for an intimate wedding. The Rooftop is listed for weddings, with banquet seating for 70 and receptions of up to 120.
- Le Méridien Cairo Airport: lists katb ketabs among the celebrations it hosts and says it takes events from intimate ceremonies upwards, with rooms seating around 60 for a banquet.
- JW Marriott Hotel Cairo: mentions intimate ceremonies in its Cheops rooms, with Cheops Section II listed at 90 for a banquet.
Restaurants with private dining
For 40 to 80 guests, a restaurant's private room or a full buyout can feel more personal than a hotel salon. Ask whether the price is a set menu per person or a minimum spend for the room, whether you can bring your own cake, flowers or a photographer, and until what time you can stay. A restaurant usually keeps serving its other guests, so ask about music and noise.
Villas, gardens, clubs and Nile boats
- 01
Villas and gardens
Popular in Sheikh Zayed, 6th of October, New Cairo and the Pyramids area, and best from spring to autumn. You get more freedom with decor and timing, but you may need to bring catering, lighting, sound and chairs. Ask about power, toilets, parking, sound limits and a plan for wind or a cold night.
- 02
Club halls
Sporting and social clubs often have smaller halls and gardens. They can be good value in a familiar setting, but booking usually depends on membership.
- 03
Nile boats
A small reception on the water. Check the capacity for a seated dinner, not only standing, the sailing time, where guests board and what happens if the weather changes.
Engagement, katb el ketab or small wedding
An engagement is usually the most flexible: an evening, often on a weeknight, with fewer formalities. A small wedding needs the full night, so the venue's finishing time and the room's dance floor matter more.
A katb el ketab can be held at a mosque, at home or at a venue, on the wedding day before the reception or on its own weeks or months earlier. If it is part of the same day, plan the timing with the venue and the ma'zoun together: ask whether you can have the room or a second space in the afternoon, how long the setup between the ceremony and the dinner takes, and whether a separate daytime booking changes the price of the evening.
What to ask about minimums
- Is there a minimum guest count, and on which nights does it apply?
- Is there a minimum spend instead, and what counts towards it?
- If we come in under the minimum, do we pay the difference or move to a smaller room?
- Is the room private for the whole evening, or shared with other events?
- What is included per person, and which suppliers can we bring?
- What is the deposit, and what happens if we postpone, cancel or transfer the booking?
Taking over an open date
Save the Date is a free place where couples who can no longer use their booked venue date list it, and couples who are looking find it. Browse by city, budget and date. Every listing is reviewed by hand, numbers stay private until both sides agree, and you arrange the transfer directly with the venue. We never handle money.
