First, read your contract
Every venue sets its own terms, so your contract or booking receipt is the only real answer. Look for three things: whether the deposit is refundable, whether the date can be moved, and whether the booking can be transferred to someone else. Many venues keep the deposit if you cancel outright, but some will move or transfer a booking, especially with enough notice.
Your options, in order
- 01
Postpone instead of cancel
If you might still marry later, ask the venue to move the booking to a new date. It is the simplest option for everyone.
- 02
Transfer the booking
If you won't use the venue at all, ask whether another couple can take over your date under their names. The venue fills the night, the new couple gets a date that may be sold out, and you may recover part of what you paid.
- 03
Cancel
If neither is possible, cancel in writing as early as you can, and keep a copy of the venue's reply.
How to ask the venue for a transfer
- Ask in writing (email or WhatsApp to your coordinator) and keep the reply.
- Ask whether there is a transfer or name-change fee, and who pays it.
- Ask what has been paid, what is still due and whether the package and price stay the same.
- Ask what the new couple needs to bring: IDs, a new contract, a deposit receipt.
- Agree that the venue confirms the transfer directly with the new couple.
Finding a couple who wants your date
This is the hard part, and the reason Save the Date exists. You list your date for free: the venue, the date, the area and your asking price, or free to take. Every listing is reviewed by hand. Couples looking for a date tap "I'm interested". Your number stays private until you accept someone. Then you talk directly and move the booking with the venue.
We never collect, hold or transfer money. Any payment is agreed between the two couples and the venue.
Protect yourself
- Never hand over original receipts or contracts until the venue has confirmed the new names.
- Meet at the venue with the coordinator if you can.
- Put whatever you agree with the new couple in writing.
