Start with the real guest count

Write down your real number, then add a margin. An engagement for 60 easily becomes 90 once both families are counted, and the right room for 60 may not stretch. Then ask each venue two things before anything else: is there a minimum number of guests or a minimum spend, and does it change on a Thursday or Friday night?

Capacities change with the layout. A room listed for 150 at a standing reception may seat only 100 at round tables, so always compare the banquet figure.

Corniche hotel rooms that fit 40 to 150

These figures are from the hotels' own pages. Confirm them, and the price, with the events team, because rooms and layouts change.

• Steigenberger Cecil Hotel, Saad Zaghloul Square (Raml Station): the Cecil room is listed for 100 at a banquet and 150 at a reception. The Qaitbay room is listed for 50 at a banquet and 70 at a reception. The hotel says it can help with special events such as weddings.
• Sheraton Montazah Hotel, Montazah: Al-Tabia B is listed for 100 at a banquet and 200 at a reception, and Al-Tabia A for 150 at a banquet and 300 at a reception. The two together make the full ballroom for a larger wedding.
• Four Seasons Hotel Alexandria at San Stefano: its fact sheet lists eight event venues and five breakout spaces, but gives figures only for the largest spaces (the ballroom seats 900, the garden takes up to 800 and the pier up to 400). For a small group, ask the events team which rooms and terraces suit your number.

By the sea: terraces, gardens and beaches

An evening by the sea is the reason many couples choose Alexandria. Sheraton Montazah describes vows on its private beach followed by a reception on the pool deck, and the Four Seasons lists both a garden and a pier.

Outdoor capacities are usually quoted as a maximum, so ask what the space feels like for 60 or 100 guests and whether part of it can be reserved. Ask, too, about a covered or indoor backup for wind or a cool night, the latest time music can play, lighting, and where guests park.

Engagement, katb el ketab or small wedding

An engagement is the most flexible: an evening, often on a weeknight, with fewer formalities. A small wedding needs the full night, so the venue's finishing time and the dance floor matter more.

A katb el ketab can be held at a mosque, at home or at a venue, on the wedding day before the reception or on its own. If it is part of the same day, plan the timing with the venue and the ma'zoun together: ask whether you can use a second room or a terrace in the afternoon, and how long the change-over to the evening takes.

Questions to ask every venue

• Is there a minimum guest count or minimum spend, and on which nights?
• What is the banquet capacity of this room, not only the reception figure?
• Is the room or terrace private for the whole evening?
• What is included per person, and which suppliers can we bring?
• What is the plan if the weather turns for an outdoor evening?
• What is the deposit, and what happens if we postpone, cancel or transfer the booking?
